Create folders

This How-to is intended for: Content Managers

How to create folders for various content in a group area.

Folders are a useful way to locate different types of information in a group area, such as photographs, reports, newsletters, events and news information etc. This will make it easier for users to find the information they want.

Folders in the Gateway sites work exactly the same way as folders on a regular PC storage disk, and it is also possible to change how the folder displays on the site, depending upon the information in the folder. Any number of folders can be created in a group area, and sub-folders can be placed within other folders.

To create a new folder:

1. Login and navigate to the relevant area of the site where you have permission to manage content.

2. On the edit menu above the page, click on the 'add item' link and select 'Folder' from the list

3. Enter the short name or id as a single word, with no spaces. Use the - or _ between words if you want

4. Enter the title of the folder - this will be the text that displays in the navigation menu at left. Keep this brief and to the point

5. Add descriptive text to give more information - this will display when viewing the folder containing this new one.

6. Click on the Save button below the fields to finish the creation of the folder.

7. The State of the folder will start as 'Public Draft'. This means that the folder will not appear in the navigation box, or show in other folder listings unless people are logged in. To make the folder visible to public users, click on the 'State' link above the page, and select 'Publish' from the drop down list.

8. If you have a variety of content ready to load into the folder when you create it, it is possible to wait until you have loaded all the content and publish it all at once. See the how to for instructions.
